WCF Members Portal Privacy Notice

World Christian Fellowship London (“WCF London”, “we”, “our”, or “us”) provides the WCF Members Portal to support church membership, Bible Study participation, Study Plan assignments, progress tracking, member communication, and church administration.
This Privacy Notice explains how we collect, use, store, and protect personal information when you use the WCF Members Portal.
1. Who this notice applies to
This notice applies to:
- WCF Members Portal users;
- parents or guardians using Child Corner for U13 children;
- church coordinators, activity editors and administrators;
- people registering for access to the portal.
2. Information we collect
Depending on your use of the portal, we may collect and store:
- name, email address, mobile number, church/branch, region and age category;
- login and account status information, including activation and verification status;
- Google or Microsoft sign-in identifiers where SSO is used;
- Study Plan assignments, quiz responses, scores, completion status and progress records;
- child profile and guardian contact details where a guardian manages a child account;
- administrative audit information needed to manage the portal safely.
3. How we use the information
We use this information to:
- create and manage member access to the WCF Members Portal;
- show the correct Bible Study quizzes, Study Plans and participation records;
- send account activation, assignment, reminder and completion emails;
- support parents/guardians managing linked child profiles;
- help authorised WCF administrators and coordinators support members and monitor participation;
- protect the security and integrity of the portal.
4. Who can see portal information
Your information is visible only to authorised users according to their role. For example, administrators may see portal-wide records, coordinators may see records for assigned churches, and members can see their own dashboard and results. Child profile emails and notifications may route to the linked guardian where applicable.
5. Cookies and sign-in
The portal uses WordPress session cookies and related security cookies to keep you signed in and protect forms. If you use Google or Microsoft SSO, those providers may also process sign-in information according to their own policies.
6. How long we keep information
We keep portal records for as long as they are needed for church administration, participation history, safeguarding, audit, and operational support. Records may be removed or anonymised when no longer required.
